AGEN Course List Processing for 2008
OVERVIEW
The Aggregated Enrollment (AGEN) course list for the
current academic year (summer '07, fall '07, and spring
'08) is produced for IAS by Student Information Services.
The data files contain lists of all UCB courses that may
pertain to the teaching mission of the collective Title
VI centers. Each center is responsible for selecting those
courses from the provided list that meet the criteria
of the Federal Dept. of Education's Title VI program.
GENERAL INFORMATION
Language courses are reported separately in the EELIAS
system. Instructions for indicating which courses are language
courses are included below.
Definitions:
Language: A language, linguistics, or literature class taught
in the target language or a class taught with the reading
materials in the target language is considered a language
course.
Non-Language: A non-language course is a course which teaches
subject matter in one or more disciplines of the Center's
subject area and is not taught in the target language, although
some of the course materials may be in the target language.
Two columns have been added to the course lists to facilitate
this distinction. Penelope added in column two, a Yes/No
indication, which reflects a campus distinction of language
courses. In addition to choosing your courses, please review
the marking in column two and change as appropriate for
your area.
This information is collected from the DARS database. It
represents which courses are acceptable for L&S degree
language requirements. Another column further to the right
indicates course type for example Lecture, seminar, independent
and language. At this point, this column is just for reference.

INSTRUCTIONS
You will need Microsoft's Excel:
- Download the AGEN course list for each semester
Using your WEB browser, click on the corresponding
course list below. Your WEB browser should be set to
recognize the .XLS extension as an Excel formatted file,
and should begin to run Excel automatically.
- Save the downloaded files to your hard drive
After Excel has begun to run, the first thing you
should do is save the new file directly on the hard
drive of your computer. You can then begin to modify
this file. The file located on your hard drive is your
copy of the master AGEN file, and any changes you make
will be saved to your hard drive.
- Print the master AGEN course lists (if necessary)

Mark and Sort Method
- Create a temporary column next to the course name
on the work sheet.
- Make an X in this column for each course you wish
to choose.
- Select the whole work sheet
- Sort on the column with the X
- Delete the block of courses without the X
- Delete the temporary column

Original Delete Lines Method
- Delete irrelevant courses
- With a mouse, highlight courses to be deleted by
clicking and dragging the left edge of the spreadsheet
on the Excel row number(s). Next, press [CTRL]
D to delete the block of extraneous courses.

Mark Language Courses
- Review Y/N indication in column 2. Please feel free
to override the default indication in this column
if the information is not correct according to your
records.
- Change the View, Zoom menu option to
adjust the display size to your preferences
- Try to complete the work on each file in one
sitting
- Split the work into two parts. The first time
through, reduce the data set by deleting large
blocks of irrelevant courses. Next, go more slowly
in those areas where course types are relevant.
- Save your modified files often
- If you delete a course in error, use the Undo
menu choice to bring the record(s) back. Or you
may open the original Excel file and copy the
deleted record back into your working spreadsheet
if you cannot undo your course deletion.
